"I shared the link" is not the same as "it's public"
Google Drive, Dropbox, OneDrive, and SharePoint all have sharing settings that are easy to get wrong. A link that works for you — because you're logged into the same Google account — may show a permission error to anyone outside your organization. The only way to know is to test the URL from a fresh session, which is what PrintLink Checker does.
Common failure modes for PDF links on print materials: the document was shared with "anyone with the link" but later restricted; the Google Drive folder was moved; the Dropbox account was downgraded to a free tier and public sharing was disabled; or the link is to a SharePoint document that requires organizational credentials to view.
If your PDF is large, also check the load time. A 15MB unoptimized catalog PDF linked from a flyer QR code will frustrate every mobile visitor who tries to open it on the go. Consider using a direct CDN-hosted link or an optimized PDF rather than a cloud drive share.
PDF link checklist before printing
- ✓Link opens without a login prompt — Test from an incognito window or a different device. Drive and Dropbox links often work only for signed-in users.
- ✓File downloads or previews successfully — Confirm the PDF actually renders — not just that the URL resolves.
- ✓HTTPS is valid — Cloud storage providers use HTTPS, but verify for direct-hosted PDF links.
- ✓File size is reasonable for mobile — PDFs over 5MB load slowly on mobile. Optimize before linking.
- ✓Sharing settings are permanent, not expiring — Some Drive share links can be revoked by the owner or expire. Prefer a direct hosting URL for print materials.
- ✓Correct version of the file — Confirm the link points to the final version — not a draft you shared during review.
